Role Summary
To support the Technical Managers, Technical Specialists, other Technical Coordinators and Project Teams by managing administrative tasks, coordinating projects, and ensuring efficiency across the department.
Responsibilities
- Project Coordination and Administration
- Project Management Basics ā Supporting team workflows, timelines, and deliverables to help inform and balance workload.
- Task Coordination ā Ability to track tasks across a team, ensuring follow-ups on action items and meeting deadlines.
- Document Control & Management ā Maintaining up-to-date internal management documents, ensuring version control and accessibility.
- Operations Support – Assisting in the administrative ongoing operation of the online certification systems for EDGE and Green Star as well as Zendesk (platform used to manage project queries and submissions)
- Process Improvement & Efficiency ā Identifying opportunities for administrative process optimization.
- Communication & Stakeholder Engagement
- Strong Written & Verbal Communication ā Ability to liaise with internal teams and external stakeholders.
- Process Documentation & SOPs ā Supporting the creation of guides, FAQs, and checklists for improved team efficiency and stakeholder clarity
- Case & Query Management ā Ensuring efficient resolution of queries via Zendesk, tracking team deliverables, and escalating when necessary to ensure deadlines are met.
- General
- Ability to Self-Manage Tasks & Meet Deadlines ā Operating independently in a certification-based environment with strict timeframes.
- Team Collaboration & Reliability ā Working as a proactive and dependable team player, ensuring smooth departmental operations.
- Adaptability & Continuous Learning ā Staying up to date with digital tools to enhance role effectiveness.

Required skills and Experience
- Grade 12 with tertiary qualification
- Proven experience in administration or in a similar role is essential
- Proficient in MS Office Suite (Word, Excel, PowerPoint)
- Attention to detail and accuracy
- Strong organizational skills and effective communication
- Ability to work independently and as part of a team
- Basic understanding of GBCSA certifications or similar systems is advantageous

Role Summary
To work with Technical Managers, Technical Specialists, other Technical Coordinators and Project Teams to support the on-going operations and processing of certifications for GBCSAās rating tools (Green Star, EDGE & others). Coordinating and serving as the day-to- day point of contact for project registrations, submissions and assessments.
Responsibilities
Supporting Certifications and Technical Queries
- Coordinating and serving as the day-to-day point person for project registrations, submissions and assessments for all the GBCSAās rating tools in relation to the on-line tool, manual and the certification process.
- Providing customer service regarding technical queries and stakeholder feedback related to the rating tools and general GBCSA work, including the processes associated with project registration and certification.
- Researching, documenting and communicating rating tool compliance requirements as needed.
- Assisting in the development, implementation and ongoing operation of all the green building rating tools together with the other technical staff as needed.
- Coordinating meetings of Assessors, Reviewers and other groups (i.e. Technical Working Groups) involved in the operations of the rating tools and training as needed.
- Assisting in the development, implementation and ongoing operation of the online certification systems for EDGE and Green Star.
- Generally supporting the work of the technical team for all the rating tools.
- Case manager moderation on assessments, assuring consistent quality, as per the assessor principles.
- Assisting on any major tool updates and providing technical support.

Required skills and Experience
- Tertiary qualification in a property-related or environmental science, sustainable development or similar field e.g. architecture / engineering / quantity surveying / project management / environmental science qualification / facilities management.
- Industry experience within the built environment is an advantage.
- Qualified as a Green Star Accredited Professional (AP) and/or Edge Expert is essential.
- Strong organizational skills and attention to detail.
- Excellent writing skills, and an ability to explain technical issues clearly and concisely in lay personās terms.
- Solid communication and interpersonal skills.
- Ability to work as a reliable participant of a team.
- Ability to independently manage workload and deadlines.
- Proficient in Microsoft Excel & Word.
- Strong passion for the green/sustainable building environment agenda.
- Demonstrated skills will be prioritised over education and specific experience
